Position Overview

The Administrative Associate position plays a vital role in supporting the smooth and efficient operations of the organization. This position is responsible for a wide range of administrative and operational tasks mainly within an office environment, including managing communications, maintaining accurate records, assisting with document management, data entry, and supporting cross-departmental coordination to achieve organizational goals.

As a key point of contact for both internal teams and external partners, the Administrative Associate must be able to represent the organization with professionalism, enthusiasm, integrity, and tact. This role also contributes to various projects as needed and is essential to ensuring effective information flow and operational support. Candidates with additional experience in the areas listed under ‘Additional Preferred Qualifications’ will be strongly considered, as such skills may enhance the scope of responsibilities and starting compensation. Opportunities for compensation, title, and responsibility advancement are available based on performance and organizational needs.

Main Core Responsibilities:

· Manage a high volume of phone inquiries with accurate answering and call routing.

· Daily management of applications and databases.

· Accurate data entry and cross-verification across multiple platforms.

· Maintain year-round communication with prospective and current participants, ensuring timely submission of required documents and coordination of their participation.

· Contribute to team discussions and support the creation of presentations across various topics.

· Maintain daily management of insurance documents, including Certificates of Insurance, and liaise with insurance providers to secure the required documentation.

· Creation and logging of ID badging materials, with the ability to generate basic reports.

· Support the preparation and management of permitting documents and processes.

· Provide cross-departmental support as needed.

· Research and analyze topics as needed to support team objectives.

· Other administrative duties as assigned.

 

Required Qualifications:

· Comprehensive understanding of administrative and customer service principles and practices.

· Clear communication skills, both verbal and written.

· Basic proficiency in Microsoft Office programs and applications, typing, and computer navigation skills.

· Able to work independently while actively contributing as a collaborative team member in a fast-paced environment.

· Capable of multitasking with efficiency and accuracy.

· Able to work efficiently under time constraints to meet deadlines and project goals.

· Creative and full of imagination—we love team members who think outside the box!

· Bilingual (Spanish)

· Graphic Design (Adobe Photoshop, InDesign, Illustrator, Clip Studio Art, etc.)

· Photography & Videography (Content Creation & Management)

· Social Media (Content Creation & Management)

· Website Creation, Editing, & Management

· Supplier, Sponsorship, & Contractor Relations

· CRM or Database Experience (Salesforce, HubSpot, Zoho CRM, Pipedrive, etc.)

· Marketing and/or Communications Experience (Education and/or Workforce)

· Event Logistics or Production Experience

· Writing (Creative, Technical, Business, Grant Proposals, etc.)

· Advanced Proficiency in Technology, Software, Troubleshooting, or IT-Related Tasks

We welcome all applicants with diverse talents and backgrounds. Secondary job responsibilities and salary are subject to change due to applicants' skill level and experience. This is a full-time, salaried, year-round position with starting pay at: $44,000.00 - $50,000.00

Schedule/Work Hours:

  • Festival Off-Season (April - End of January), Monday–Friday, 9:00 am – 6:00 pm, with a one-hour lunch break.
  • Festival On-Season (End of January - Second Weekend of February). TBD
  • Festival On-Season (First Weekend of February - End of March), Work 5 days a week, weekends must be included in those 5 days (meaning you will have two days off during the week).

Ability to commute/relocate:

  • Fort Lauderdale, FL 33309 and Deerfield Beach, FL 33442: Reliably commute or planning to relocate before starting work (Required). Will discuss details of the locations in the interview.
