SUMMARY:
The Sponsorship Coordinator is responsible for assisting the Sponsorship Department.
REPORTS TO: Director of Sponsorship
FLSA-CLASSIFICATION: Hourly Exempt
ESSENTIAL JOB FUNCTION:
The primary purpose of this position is to support the Wellington International Sponsorship Department in the management of all sponsorships from contract signature to activation and reporting. The Sponsorship Coordinator must be very organized, have strong communication and coordination skills, and enjoy interacting with people of varying backgrounds. The correct candidate will be an exceptional team player and have some knowledge of marketing and advertising, and be able to manage budgets, staff, and promotional material. The events that the Sponsorship Coordinator will work on are included but not limited to the Winter Equestrian Festival, Adequan Global Dressage Festival, and ESP Annual Series.

- Work with the sponsorship team and other departments as necessary to develop an overall plan and calendar for all phases of events.
- Execute a comprehensive, multi-channel sponsorship deliverable management strategy including file organization, inter-department project coordination, and sponsor report content management.
- Work with the co-workers and the marketing department to develop and implement a sponsorship marketing calendar utilizing multiple media channels to promote sponsors.
- Assist in the creation and organization of all sponsorship contracts.
- Manage and organize all sponsor gifts for presentations.
- Oversee the ordering, organization, and management of sponsorship event signage.
- Develop database for contact lists and other key event information related to sponsors.
- Develop and prepare a weekly event specific photography list for Official Photography partners.
- Communicate presentation times, presentation photos, and other important opportunities to sponsors.
- Work with Supervisor in the Sponsorship Intern Program and organization of all seasonal staff support
- Work closely with Marketing and Signage teams
Additional Duties and Responsibilities:
- Special projects as designated by supervisor.
- Participate in professional and local community outreach when necessary.
- Other duties as specified by supervisor.
PHYSICAL REQUIREMENTS:
- Prolonged periods of sitting, standing, and walking.
- Must be able to work nights and weekends.
- Must be able to lift up to 25 pounds.
